View an Individual Recent Transmission and Its Individual Messages on Message Center History

Use Message Center History to view the details of an individual transmission to one or more Members.

  • To access a message from the initial Message Center > History window, place your cursor inside the box that outlines an individual message in the list and click.
  • To access a message from the full list shown on the window at Message Center > History > View More, click on the “view more” link at the bottom of the initial Message Center History window, and then click on the “Actions” column’s “View” link for the message you want to view from the full list.
  1. In the “Selected message” window that opens, view the basic details about the transmission in the upper left corner. These details list the message subject, to how many recipients you sent it, the e-mail address from which it was sent, and the date and time of the transmission. Note that the time is listed in the Eastern Time Zone. Note also that if the message subject contains dynamic fields, the “Selected message” window lists the subject with the dynamic fields in their generic state, not with the actual variables that replace them, including the community name, a person’s first/last name, or their e-mail address.
  2. At the top right, the “Statuses” legend lists the four message status levels that can apply to any individual message transmission, along with a tooltip that explains what each status means. The status levels are as follows:
    • Processing [yellow]; “Message transmission in progress”
    • Delivered [green]; “Message has reached its recipient”
    • Opened [blue]; “Recipient has opened the message”
    • Not Delivered [red]; “Message cannot reach recipient (e.g., address is bad or blocked; mailbox full; recipient blocked a previous message as spam).”
  3. The bottom half of the “Selected message” window contains three section tabs.
  • The “Details” tab includes the “At a glance” section, which itemizes to how many Members you sent the message; the “opens” section, which notes how many recipients clicked on the message to open it; and the “clicks” section, which notes how many recipients clicked on a link in the message.

    • NOTE: How message recipients have set up their e-mail client software determines whether the message elements that register as message “opens” and “clicks” transmit the signals that result in these two counts incrementing. If a recipient blocks these message elements, they may open and click on links in a message without their actions being recorded. You cannot set up a message to force these tracking elements to transmit data.
    • At the bottom of the “Details” tab, the “Delivery status” section shares the overall status of the set of messages. For example, if one or more designated recipients did not receive the message, it may show up as “Partially Delivered.”
  • The “Recipients” tab lists details for each recipient of the message. The “When Sent” column shows the date and time of message delivery. Note that the time is listed in the Eastern Time Zone. The “Recipient(s)” column lists the name of each recipient. The “Contact Info” column lists the information used to send the message. For e-blasts, that information consists of the individual’s e-mail address. The “Status” column lists one of the four status levels itemized in the “Status” legend at the top right of the “Selected message” window. The “Opens” column lists the number of times each individual recipient has opened the message. (See note above about e-mail client software settings and their impact on message-delivery statistics.) The “Clicks” column lists the number of times each individual recipient has clicked on a link or button link in the message. (E-mail client software settings also have an impact on this statistic.) The “Resent” column’s arrow is a clickable icon that brings up the “RESEND EMAIL?” modal window, through which you can send the message to the individual recipient once again.
    • To close the “RESEND EMAIL?” window without sending the message again, click on the “Cancel” button, press the “Esc” key, or click on the “X” in the top right corner of the window.
    • To search the history of the messages shown in the “Selected message” window, click in the “Search Recipients” box and enter all or part of a recipient’s name or e-mail address. Click on the search button (magnifying glass) to perform your search. To clear your search terms, click on the “X” button next to the search button.
  • To limit your search to a specific message status, click on the “Status” dropdown menu to open it, and select the status from the list of options. Those types (which match the types in the “Statuses” legend) include the following:
    • Processing
    • Delivered
    • Opened
    • Not Delivered
  • To filter the message list by the “Status” dropdown menu, click on the search button (magnifying glass) to the right of the main search field. To view messages of all status levels, click on the clear button (the “X”) to the right of the main search field, or set the “Status” dropdown menu to “All” and click on the search button (magnifying glass) to the right of the clear button.
  • The “Other Transmissions” tab lists additional message transmissions based on the same message template as the one used in the transmission currently shown in the “Selected message” window. Note that “Other Transmissions” may have been sent before or after the message shown in the “Selected message” window.
